Ask one qualified student at a time, in person, at a scheduled moment when they are excited — starting at the two-week progress check — and capture it on the spot with a QR code or a texted link while you are sitting across from them. Never pay for a review.

Watch the original

https://youtube.com/watch?v=XY5tv1FkiNg

Almost every school owner I talk to has the same review problem, and almost none of them have diagnosed it correctly.

They think the problem is that students won’t leave reviews. It isn’t. Parents leave reviews constantly — for restaurants, dentists, contractors, the guy who fixed the garage door. The problem is that the school has no moment. No specific, scheduled, recurring point in the student’s life where a specific human being asks a specific question and hands over a specific device.

Without that, the review ask becomes a mass email that gets a 1% response, or a sign on the wall nobody photographs, or worse — a $25 bribe that violates Google’s terms and produces the flattest, most useless review copy imaginable.

What fixes it is a Review Moment Map: a short list of recurring points in a student’s journey where a five-star review is naturally available, plus three rules for how the ask is executed at each one. Build it once and your review count stops being a thing you nag about and becomes a thing that accumulates on autopilot.

Why Reviews Are Not a Vanity Metric

Before the mechanics, understand what you are actually buying, because it changes how hard you are willing to work at this.

Local search for a martial arts school is now dominated by three components stacked together: who it is for, what they want, and where. A parent doesn’t search “karate.” She searches for kids martial arts lessons near her subdivision, on her phone, standing in a kitchen at 9pm. What she gets back first is the map results — and the map results are ordered heavily by the strength of Google Business Profiles, of which review volume and recency are load-bearing components.

Then, having seen three schools in the map pack, she does the thing every parent does: she reads the reviews. Not the star rating. The reviews. She is scanning for a sentence that describes her kid.

So reviews do two jobs at once. They get you into the consideration set, and then they close the pre-sale before you ever know she exists. That is worth real money. A new student in a well-run school enrolls at $347–$397 a month — call it $375 — on a twelve-month Trial Enrollment, which is a school-led evaluation of whether the student is a fit for the full black belt program, not a casual month-to-month arrangement. That is $4,500 in first-year tuition from one enrollment. And a new student costs five to seven times more to acquire than to retain, roughly $150 to $300 per enrollment in advertising and staff time.

Every enrollment that arrives because your review wall did the convincing is an enrollment you did not buy. Two of those a month is $3,600 to $7,200 a year you stop spending on ads, on top of $9,000 in first-year tuition. For a process that takes ninety seconds and costs nothing.

The Review Moment Map

Here are the moments, in order of yield. You are not going to use all five at once. Install the first one, get it running, then add.

Moment 1: The two-week progress check

This is the primary moment and if you install nothing else, install this.

The sequence that precedes it matters. First intro. Second intro. Finalize the enrollment. Then, on the first actual lesson or within the first week, you sit down with the family and walk them through the enrollment folder — the character lessons, the expectations, how the program works. At the enrollment or at that first sit-down, you schedule their first progress check for two weeks out.

That progress check is where the review lives. At two weeks in, a new student is at emotional peak. The gi is still exciting. The kid has already shown a parent something at home. Nothing has gone wrong yet, no plateau has arrived, no schedule conflict has surfaced. The family is more enthusiastic about your school at week two than they will be again until the day their kid tests for black belt.

You are already sitting down with them. You are already in a positive conversation about their child’s progress. The marginal cost of asking is zero and the conversion rate is enormous — because the ask is happening at the exact moment the honest answer to “are you happy?” is yes.

Moment 2: The stripe or belt promotion

A promotion is a manufactured peak. Somebody just got recognized in front of a room, a parent just took eleven photos, and the family is going out to dinner to celebrate. That is a review-ready state, and if you have a staff member positioned at the door with a QR code as families leave the ceremony, you will collect several per event.

Moment 3: The unprompted compliment

A parent stops you after class and says her son’s teacher noticed a difference, or the kid finally stood up to the boy on the bus, or a grandmother says she has never seen him this focused. This happens in every school every single week and the overwhelming majority of the time the owner says thank you and walks away.

Train your entire staff on one response: thank you, that means a lot — would you be willing to write exactly that down where other parents can see it? Then hand them the phone. A parent who just said the thing out loud will write the thing down, because you have already done the hard part, which is making them find the words.

Moment 4: The renewal or upgrade conference

By definition a family that just committed to a longer program is a family that has decided you are worth more money. That decision is fresher and more considered than anything they will feel later. Ask at the end of the conference, once the paperwork is done — never before, because asking before makes the review feel like a condition of the deal.

Moment 5: The event win

Tournaments, demo teams, board-breaking days, the leadership-team induction. Anywhere a family experienced pride in public. Same mechanic, same ninety seconds, same device in hand.

The Three Rules That Make Any Moment Work

The map tells you when. These three rules are how. Break any one of them and the moment produces nothing, or produces something worse than nothing.

Rule 1: Qualify before you ask

This is the rule owners skip, and skipping it is how schools manufacture their own three-star reviews.

Before the ask leaves your mouth, the family has to clear three gates in your head:

Are they excited? Visibly, audibly enthusiastic — not merely present and polite.

Are they free of active frustration? No complaint about schedule, price, a staff member, another student, the parking lot, anything.

Have they said nothing about quitting? No “we’re going to see how the next month goes,” no mention of a competing activity, no hedging.

Three yeses, you ask. Any no, you do not ask — you fix the thing instead. That is not you being timid. That is you understanding that a mass review request sent to your entire roster is an open invitation to every ambivalent and irritated family you have, and those are the people with the motivation to write four hundred words.

Here is the arithmetic of the blast. Send to 200 families. Twelve respond. Nine are five stars, two are three stars, one is a one-star from a parent who has been quietly annoyed since June. You have gained nine and permanently installed three pieces of evidence against yourself on the page that every future prospect reads. The targeted ask, run at qualified moments only, yields nine fives and zero of the others — same number of good reviews, none of the damage.

Rule 2: Ask in the room, out loud, by name

Not email. Not a text campaign. Not a QR code on the wall with a hopeful sign over it. A person, looking at another person, asking.

The script is two sentences and it works because it assumes nothing and pressures nobody:

“Have you had a chance to leave us a review yet?” — and when they say no, which will be ninety-nine out of a hundred: “Since we’re sitting here right now, would you mind? I can scan you a code or just text you the link.”

Notice what the first sentence does. It does not ask them to do a favor. It asks a neutral question about whether something has already happened, which is almost impossible to say no to, and which opens a door rather than pushing someone through one. The second sentence removes the only real obstacle: the fact that they’d have to remember, later, at home, while doing four other things.

Every instructor who conducts a progress check should have this memorized and should have run it in a role-play before doing it live. It is a thirty-second drill in a staff meeting. Run it until nobody sounds apologetic.

Rule 3: Capture inside ninety seconds

A review that is going to get written later is a review that is not going to get written. Every hour between the ask and the typing kills a large fraction of them.

So the capture has to be frictionless and immediate. Two mechanics, both of which you set up once:

A printed QR code that goes straight to the review form — not to your profile, not to your website, to the form with the stars already on screen. Laminate it. One on the desk in the conference area, one at the front counter, one in the instructor’s folder.

A saved text message with the direct review link that any staff member can send from the school phone in four seconds.

Then stay in the chair. Don’t hand over the link and walk off. Sit there, keep talking about their kid, let them type. If they get stuck on what to say, give them a prompt, not a script: “Just say what you told me a minute ago — about him looking you in the eye now.”

Never Compensate. Not Even a Little.

The most common question I get on this is some version of: can I give them $25 off school bucks, or $25 off the down payment, or a free sparring glove, in exchange for a five-star review?

No. Two reasons, and the second one matters more than the first.

First, it is against Google’s rules. Incentivized reviews are prohibited, and review-gating — soliciting only the people you expect to say nice things through a filter page — is also prohibited. Enforcement is inconsistent, and I understand the temptation to conclude nobody would ever find out. Build your school’s public reputation on a policy violation and you are one algorithm update away from losing the asset you spent three years accumulating.

Second, and more important: the paid review is a worse review. A parent who writes because she is moved writes four sentences about her son. A parent who writes because you offered her $25 writes “Great school, nice staff, my kid loves it.” That is the review that convinces nobody, and you now have a wall of them.

And there is no reason to pay. You are not asking for a favor from a stranger. You are asking a family whose child you have visibly improved in fourteen days, in a conversation they are already enjoying, to spend ninety seconds. The compensation was the kid.

Google First. Then Everything Else.

Sequence matters, because attention is finite. One family will realistically produce one review, maybe two. Spend it where it does the most work.

Always start with Google. It is the review that feeds the map pack and the search result, which means it is the only review that both convinces and distributes. A beautiful review on a platform nobody in your town searches is a compliment, not marketing.

After Google is established, and only then, route additional asks to a secondary platform — Facebook, or whichever local parenting directory actually carries traffic in your area. Ask different families for different platforms rather than asking the same family twice.

The Profile Behind the Reviews

Reviews land on an asset, and if the asset is weak the reviews do less than they should. Three things sit underneath the map and all three are one-time work.

A robust Google Business Profile

Not a claimed listing — a populated one. Lots of photos, and keep adding them. Video. Accurate hours. Every service and program listed. Posts about your events. And absolute congruence between the profile and your website on name, address and phone number, character for character. “Suite 4” on one and “#4” on the other is the kind of trivial mismatch that quietly degrades local ranking for years.

Local backlinks

You draw from a three-to-five-mile radius, so you are never going to build ten thousand links and you do not need to. You need the local ones: chamber of commerce, business directories, local parenting directories, kids-activity listings, the neighborhood app, the free directory listings that still exist and still count. Every event you run, every fundraiser, every demo at a school festival — post it, and make sure the post links back to your site.

Content on the pages people actually search for

Reviews get you into the consideration set. Content is what catches the searches that never reach the map pack at all — the long-tail phrases with an age, a program and a neighborhood stacked together. Something new on the site every week at minimum. Drawn from your own material, not generated from a blank prompt, or you will produce the same page as everyone else and get nothing for the effort. I’ve laid out the full method for that in the owned-language approach to AI content, and for where that traffic lands, see the landing page audit. Both sit inside the broader martial arts school marketing system.

Track It Like a Number, Not a Hope

What doesn’t get counted doesn’t happen, and reviews are the easiest thing in a school to let slide because no single missed one hurts.

Put one line on your monthly scoreboard: reviews collected this month, next to enrollments this month. If you enrolled fifteen students, ran fifteen two-week progress checks, and collected two reviews, you don’t have a review problem — you have a progress-check execution problem, and that same execution gap is also costing you renewals. The ratio is the diagnostic.

A reasonable working target for a school running properly: a review from at least half of the families who reach the two-week progress check in a positive state. Schools holding attrition under 2% a month — which is the target, against an industry norm of 3–5% — will find that most families qualify, because a school with genuinely low attrition is a school where most people are genuinely happy. If almost nobody at your school clears the three gates, the reviews are not your problem. They are the symptom.

The Four Failures

The annual blast. Once a year the owner remembers reviews and emails everyone. Yield is terrible, and it surfaces the unhappy. Replace it with a standing moment.

The passive QR code. A sign on the wall is not an ask. A human asking, with the code already in hand, is an ask. The sign helps only after the sentence.

The unqualified ask. Asking a family who just complained about class times is how you buy yourself a three-star review with your own hands.

Collecting and never responding. Reply to every review, good and bad, in your own voice, within a couple of days. Prospects read the owner’s replies as closely as the reviews — a calm, specific, non-defensive reply to a critical review is often more persuasive than the five-stars around it.

FAQ

Can I offer a discount in exchange for a Google review?

No. Incentivized reviews violate Google’s policies, and so does filtering who you ask based on how you expect them to rate you. Beyond the rule, paid reviews read like paid reviews — short, generic, and unconvincing to the parent who is actually deciding. Ask a genuinely happy family in person instead. It costs nothing and produces far better copy.

When is the best time to ask a martial arts student for a review?

The first progress check, roughly two weeks after enrollment, provided the family is excited, not frustrated, and has said nothing about quitting. You are already sitting down with them in a positive conversation about their child, enthusiasm is at its peak, and nothing has gone wrong yet. Secondary moments are belt promotions, unprompted compliments after class, and the end of a renewal conference.

How many Google reviews does a martial arts school need?

There is no finish line, and recency matters as much as total count — a profile with steady new reviews every month outperforms one with a big pile from three years ago. Stop managing to a target number and manage to the process: one qualified ask at every two-week progress check. Do that consistently and the count takes care of itself.

Two Things to Take With You

Reviews are one column of the Parthenon. My standing premise has always been twenty different things generating students at once, with no single one load-bearing.
