Find out about the injury within days, contact the family personally, and agree on a written training plan that covers what they can safely do now, which classes they will attend, and when they will test. Book their next four classes by date with reminders. Students who are told “come back when you’re healed” usually don’t come back. Students who keep a reason to walk through the door usually do.

An injury is one of the most predictable exits in a martial arts school, and one of the easiest to prevent. At the October 2, 2026 Martial Arts Wealth Mastery live event, the session “How To Teach So You Never Lose Students” covered how the best-retaining schools in the room deal with injuries, travel and other interruptions. Their approach is less about policy than about one habit: make a plan with the family before the absence turns into a habit.

Why do injured students drop out?

The student who gets hurt doesn’t usually decide to quit. They just stop coming, and the routine that kept them training goes away. One member school owner with a monthly dropout rate well under 2% put it plainly: when a student says they have to take time off for an injury, “more often than not, they don’t come back.”

Timing makes it worse. The presenters said the vast majority of dropouts happen in the first 90 days, and that’s when a new student is least attached to the school. A broken arm two and a half months in, just before a first belt, is the kind of interruption that quietly ends a student’s training if nobody steps in.

Peer groups matter as well. As one presenter put it: “it’s devastating for a brown belt not to get a black belt with their peers. And it’s somewhat less for a white belt, although that’s the most at-risk category.” A beginner has fewer friendships holding them in place. An advanced student has more to lose by falling behind their group.

How quickly should you find out a student is hurt?

You should know within days, not when the student finally walks back in. Families often don’t call to say a child got hurt at school or on the playground. You find out because you noticed the absence.

The schools on the panel run this off the attendance card. While a class is on the floor, the front desk checks the cards for that class to see who was expected and didn’t show, then calls right away. One owner described the standard he holds his staff to: “If they’re gone a week, I tell my staff to panic.” In his school, a week’s absence that nobody knew about is treated as an emergency, especially with a new student.

That’s how one school learned a young white belt had broken her arm on the school playground. She had simply stopped coming, and her family hadn’t mentioned it. The call is what turned it into a conversation.

What should the first contact look like?

It should be personal and it should come before any talk about schedules. In the example above, the front desk wrote a note to the owner, and the first thing he did was order flowers for the family. The planning came after that.

Personal recognition comes up again and again in the best-retaining schools: flowers when a student is hurt or in the hospital, a handwritten card, a call from the instructor rather than an automated text. Automated reminders have a job to do, but as Grand Master Stephen Oliver said during the session, technology “can help facilitate a conversation, but it doesn’t replace the conversation.”

What goes into an injury training plan?

“You can do a training plan with anybody for anything,” one presenter said. It doesn’t have to be a formal document. What matters is that you and the family agree on it and both of you can see it. A workable plan answers four questions:

What can they safely do right now? Follow the student’s medical guidance. Within those limits, the presenters described plenty of options: watching class, working one-on-one with an instructor on what the injury allows, training the uninjured side, or “sitting on the bench and taking notes on what’s been demonstrated in class.”

When are they coming in? Keep the same days and times they already had. As one member school owner put it, “even if they can’t do anything physically, it’s better than not showing up for a month.”

How will they stay on track for rank? Say when they’re expected to test and what has to happen first so they don’t lose their place.

When do you check in next? Put a specific date for the next conversation on the calendar.

Write it down somewhere the family will see it. Grand Master Oliver recommends giving families something “that goes under the magnet in the refrigerator.” The card the presenters showed lists the student’s next four classes, the date of their next belt test, and even their projected black belt date, with room for notes on the back. Once it’s on the fridge, it’s an agreed plan rather than a hope.

How do you make sure they actually come back?

Book the classes. Once the plan is agreed, staff put each of the next four classes into the automated reminder system, so the family gets texts and emails. Each class also goes on the staff calendar, so a person makes a reminder call before it. The presenters explained that because the family already agreed to the plan, these calls don’t come across as pestering. They’re following through on something everyone signed off on.

Use the same approach for any absence. The table below shows how the presenters treat expected and unexpected interruptions.

Situation

What the plan does

Who owns it

Unexpected: injury, surgery, illness

Adapted training or watching class on the usual days; one-on-one work within medical limits; four booked classes; a target test date

The student’s assigned instructor, with front-desk reminder calls

Expected: a month of family travel

Extra classes before leaving, make-up classes booked for the return, test timing protected so the student stays with their group

The instructor who runs the student’s progress checks

Seasonal: summer, holidays

Collect vacation plans at every progress check and talk to the family before they leave

Program director during progress-check “semesters”

For planned absences, the presenters’ schools ask every family to list upcoming vacation plans on the progress-check form at each two-month testing cycle. That means the school hears about a month away weeks in advance, not the day before the flight.

Is this customer service or teaching?

The presenters’ answer is that it’s teaching. As one put it after hearing how a member school handled an injured student, “that’s just being a really good mentor and a really good instructor.” Students who train through an injury tend to remember it. One presenter noted that when a student like that earns a black belt, they’ll remember that the school called, that they kept coming, and that they kept learning while they were hurt.

It’s also good for the business, and the presenters said so openly. But in Grand Master Oliver’s framing, keeping a student through a hard stretch is part of producing black belts, not a sales technique.

Key takeaways

An injury leave without a plan usually becomes a dropout, and new students are the most at risk.

Check attendance during class and call the same day. A week’s unexplained absence is an emergency.

Reach out personally first, with flowers or a handwritten card, and talk about schedules after that.

Agree on a simple training plan: what they can do, which days they come, when they test, and when you check in next.

Book the next four classes with automated reminders and a staff call, and give the family a schedule card for the fridge.

Collect vacation plans at every progress check so planned absences never catch you off guard.

Related reading: why retention automation still needs human follow-up and the Progression Lock.

Frequently asked questions

Should an injured martial arts student keep attending class?

Yes, within their medical limits. The schools on the October 2026 panel have injured students keep their usual days and times so the routine doesn’t break. They can watch, take notes, train the uninjured side or work one-on-one with an instructor. Coming in without training fully is better than being gone for a month.

Should I freeze or pause an injured student’s membership?

The presenters didn’t set a single rule.
