During prime time, the hours when intros, enrollments and renewals happen, no parent conversation that isn&#8217;t about enrolling, renewing or paying gets more than about seven seconds. Instead, the owner warmly moves it to a scheduled time. It applies to your most enthusiastic families as much as to your complainers. Done well, it protects your sales hours without costing rapport, because the parent leaves with a specific appointment rather than a brush-off.<\/strong><\/p>\n<p>Every school owner knows the parent who catches you at the front desk at 5:40 p.m., ten minutes before an enrollment conference, with &#8220;Do you have a minute?&#8221; It is never a minute. At the October 3, 2026 Martial Arts Wealth Mastery live event, Grand Master Stephen Oliver spent most of a session on this problem. His view is that handling it well is a skill you can learn, not a personality trait.<\/p>\n<p>&#8220;It is a learned skill. To time shift people. Without them getting mad. It really is a learned behavior,&#8221; he told the room.<\/p>\n<h2>Why do parent conversations eat so much of an owner&#8217;s time?<\/h2>\n<p>Because the parent&#8217;s sense of urgency becomes yours if you let it. Grand Master Oliver used Stephen Covey&#8217;s urgent-versus-important grid and applied it to a school:<\/p>\n<ul>\n<li><strong>Urgent and important:<\/strong> a new lead. It needs a response right away.<\/li>\n<li><strong>Important but not urgent:<\/strong> a family who enrolled two weeks ago and is still excited. That&#8217;s the moment to build commitment, before it cools.<\/li>\n<li><strong>Urgent to them, not important to you:<\/strong> a large share of what gets called &#8220;student service.&#8221; A schedule question, a complaint about another child, a long story about a tournament.<\/li>\n<\/ul>\n<p>The principle he kept coming back to: don&#8217;t let somebody else&#8217;s idea of urgent become your idea of urgent. Most issues a parent raises at 5:40 p.m. can be handled just as well next Tuesday, and many of them will have resolved themselves by then.<\/p>\n<h2>Which families take up the most time?<\/h2>\n<p>Grand Master Oliver suggested grading your families A+ through F. The surprise for most owners is that the most time goes to both ends:<\/p>\n<ul>\n<li><strong>The A+ families<\/strong> love you, love the school, and want to talk. They are your best referral sources and your easiest renewals, which is exactly why it feels wrong to cut them short.<\/li>\n<li><strong>The D and F families<\/strong> have a complaint, a grievance or a long-running problem. Their conversations drain energy as well as time.<\/li>\n<\/ul>\n<p>His rule covers both groups: &#8220;So neither one of these can have more than seven seconds of your time during the night.&#8221; The difference is in how you say it.<\/p>\n<h2>What do you say to an A+ family?<\/h2>\n<p>Be honest and warm. Tell them what your evening actually looks like, then give them a better time. Something like: &#8220;I&#8217;ve got four enrollments, two renewals and a couple of other things tonight, and I want to give you real time. Can we catch up Saturday after classes?&#8221; Your best families respect a busy school. Telling them you&#8217;re full is good news to them.<\/p>\n<h2>What do you say to a D or F family?<\/h2>\n<p>Don&#8217;t engage with the content. Once you start discussing the complaint at the front desk, you&#8217;ve lost the evening. Offer two specific times instead, along the lines of: &#8220;I could talk about that Tuesday at 12:30 or Friday at 11:45. Which is better for your schedule?&#8221;<\/p>\n<p>Grand Master Oliver applies this even when the parent says they want to quit. The conversation will go better in four or five days, when both of you are calmer and you have time to do it properly, than it will in a hallway between classes.<\/p>\n<h2>Is there ever a reason to handle it on the spot?<\/h2>\n<p>Yes: money. His triage line is &#8220;I&#8217;m back to back today. What specifically did you need?&#8221; If the answer is &#8220;I&#8217;d like to pay in full,&#8221; take care of it immediately. He told several stories of paid-in-full money that went unclaimed because someone said &#8220;let&#8217;s talk about it next time,&#8221; and by next time the money had gone on a roof, a kitchen remodel or a motorcycle. If it&#8217;s anything else, move it to a scheduled time.<\/p>\n<h2>Why protect your head before sales conferences?<\/h2>\n<p>A tense conversation with an unhappy parent ten minutes before an enrollment conference changes how you show up in that conference. Grand Master Oliver was firm that owners must discipline themselves never to let a negative person into their head right before they need to be in sales mode. If a difficult parent catches you before a conference, time-shift them, even if you would otherwise have had a minute.<\/p>\n<h2>How do you make time-shifting feel respectful?<\/h2>\n<p>A few practical tools came up in the session, from the presenters and from member school owners:<\/p>\n<ul>\n<li><strong>Give a stated end time.<\/strong> Grand Master Oliver credited marketing legend Dan Kennedy&#8217;s <em>No B.S. Time Management<\/em> with the idea of offering an appointment with a clear start and finish, such as 11:45 to 12:05. The parent knows they have your full attention for that window and doesn&#8217;t feel cut off.<\/li>\n<li><strong>Acknowledge, validate, reschedule.<\/strong> &#8220;That sounds important, and I want to give it real attention. Let&#8217;s set a time.&#8221;<\/li>\n<li><strong>Use a booking link.<\/strong> Open one or two days a week in 20-minute blocks and let parents pick a slot.<\/li>\n<li><strong>Pre-frame it at enrollment.<\/strong> Tell new families up front: if you need to talk to me, let&#8217;s schedule it, and tell me what it&#8217;s about.<\/li>\n<li><strong>Look busy for a reason.<\/strong> Walking the floor with a clipboard or a stack of paperwork signals that now isn&#8217;t the moment.<\/li>\n<li><strong>Turn it into a progress check.<\/strong> When a good family wants to chat, steer it into a quick progress update on their child.
