AI is a wonderful tool and a horrible tool, depending entirely on how you point it. I use it every single day to run my business, and I also watch owners use it in ways that are actively hurting them. So let me give you the honest breakdown \u2014 the uses that will accelerate your school, the “AI slop” that will quietly damage it, and the trap that is sinking owners right now.<\/p>\n\n\n\n

Best use #1: the live dashboard that pulls all your numbers into one place<\/h2>\n\n\n\n

For years, the promise of every software package was a “digital dashboard” where you could track everything. Now I actually have it. I use Claude to go pull all of our data \u2014 the Meta ads, the Google data, the CRM, QuickBooks \u2014 and I have it build me an HTML dashboard. I can run it live, or I can have it run every night at 1 a.m. so that when I open it up in the morning it shows me month-to-date and year-to-date across every figure that matters. Back when I was running six locations, or 50 franchises, this would have been worth its weight in gold. AI is genuinely excellent at consolidating and aggregating data \u2014 turn it loose on your bank statements or your accounting and it will show you your actual cost-return on every marketing dollar. If you are not using it for that, start today.<\/p>\n\n\n\n

Best use #2: accelerating your lead follow-up and speed-to-lead<\/h2>\n\n\n\n

The other high-value use is on the marketing follow-up side. Whether it is a smart CRM, an integrated AI system, or both, point it at one job: get your speed-to-lead under two minutes. When a lead comes in, a text and a ringless voicemail should fire immediately, with an email right behind them. Reaching a fresh lead within two minutes instead of that afternoon can make you four to five hundred percent better at converting to an appointment. Use AI \u2014 including a trained voice AI as a backup for when you are not available \u2014 to make sure no lead ever sits. Just remember the voice AI is the backup. A trained human being who builds rapport is still your primary, because rapport is most of what determines whether they actually show up. Worst use #1: AI “slop” artwork that screams “a robot made this”<\/h2>\n\n\n\n

Now the dangers. Everybody and their brother is using ChatGPT for their artwork, and a lot of it is what people are calling “AI slop.” These tools have real tells. They want to butcher your logo. They want to stuff your design full of extraneous nonsense. And they love to drop in a little cartoon calendar icon next to the date and a little cartoon phone next to the phone number \u2014 all these giveaways that a machine decided what “looks nice.” Use the tools to streamline your process, absolutely, whether it is ChatGPT directly or Canva tied to one of them. But do not let the AI decide what is attractive, because it will hand you something that looks exactly like AI made it \u2014 and your prospects can tell.<\/p>\n\n\n\n

Worst use #2: the automated daily blog that quietly wrecks your website<\/h2>\n\n\n\n

Here is the one that really costs schools. People hook their website up to a tool that auto-posts a blog a day. They think, “Great, I am getting a post out every day, I must be doing something right.” But if you abdicate your responsibility for what goes out \u2014 if you stop quarterbacking it \u2014 you get slop. I know of a school pumping out a post a day that is essentially unreadable, and it is dramatically damaging their online presence, not helping it. The worst version of this is telling AI, “Go pull the keywords people are searching and write me articles on them.” That is how you flood your own site with junk. A tool that generates content off a thin prompt, with no real substance behind it, will hurt you.<\/p>\n\n\n\n

The right way: feed it your content, then let it organize<\/h2>\n\n\n\n

Here is the line between wonderful and horrible. AI is a fantastic tool as long as you feed it a whole bunch of real content that you created \u2014 your teaching, your talks, your systems, your actual expertise \u2014 and have it reorganize, store, and develop that. It is a horrible tool the moment you say, “Go write an article about why martial arts is good for kids’ self-esteem,” and let it invent something out of thin air. Same tool, opposite outcomes. You still have to quarterback it \u2014 the same way you would quarterback a marketing company or any other vendor \u2014 because the responsibility to put something good into the world is still yours.<\/p>\n\n\n\n

Above all: do not let it suck you off the floor<\/h2>\n\n\n\n

Last thing, because it is the most important. The technology keeps getting more powerful, which means it needs more high-level judgment sitting on top of it, not less. When Facebook came out, I would ask an owner what marketing they were doing and they would say, “I spend three hours a day on Facebook.” You can pour just as many unproductive hours into these AI tools. The failing owners are the ones glued to the laptop three or four hours a day. The successful ones are out building relationships \u2014 the principal, the PE teacher, the movie theater, the live event \u2014 and they use AI to handle the screen work fast so they can get back out there. Guard your time, quarterback the tools, and never step over dollars to pick up pennies.<\/p>\n\n\n\n
