Birthday parties were working. Movie nights were on the calendar. But he was hesitating on buddy days for two reasons. First, he was worried the school would get overwhelmed \u2014 too many bodies, too little floor. Second, he wanted to know how to get students to actually bring their buddies, and how to get those buddies&#8217; <em>parents<\/em> in the building at the same time.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Dr. Greg Moody&#8217;s answer to the first concern was exactly right: let&#8217;s make sure we understand the problem statement. You&#8217;re worried the event will be <em>so successful<\/em>, <em>so well attended<\/em>, with <em>so many buddies<\/em>, that you&#8217;ll run out of space?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That&#8217;s a happy problem. I want that problem. You should want that problem. Greg told the story of a seminar he ran that got so packed his staff was quietly panicking \u2014 so they split it: half the event inside the school, half outside in the parking lot, in Arizona, in the summer. They rotated the groups. Everybody had a great time, everybody survived, and families told the story for years afterward. A crowded event isn&#8217;t a failure of planning. It&#8217;s social proof you couldn&#8217;t buy at any price. When a guest parent walks into a school that&#8217;s bursting at the seams, the enrollment conversation is already half over \u2014 scarcity and demand are doing your selling for you.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">So take capacity off the worry list. If you overflow, run two sessions, use the parking lot, split by age group. What doesn&#8217;t work is running them without a system. Here&#8217;s the one we teach.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The Buddy Day Fill Formula<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">I call the complete system the <strong>Buddy Day Fill Formula<\/strong>. It has five steps, and every one of them exists because skipping it costs you guests, parents, or enrollments. This is not a creativity exercise \u2014 it&#8217;s a checklist. Run all five and your buddy day fills. Skip two and you&#8217;ll get a handful of drop-offs and no one to enroll.<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li><strong>Give the event a mission, not a party theme<\/strong> \u2014 a reason to bring a friend that&#8217;s stronger than &#8220;it&#8217;ll be fun.&#8221;<\/li><li><strong>Make the assumptive ask<\/strong> \u2014 names, faces, and &#8220;how many are you bringing?&#8221;<\/li><li><strong>Build the paper trail<\/strong> \u2014 sign-up sheet, printed invitations, participation slips, and a clipboard at the door.<\/li><li><strong>Run the confirmation stack<\/strong> \u2014 a live call to every guest&#8217;s parent, backed by text and email.<\/li><li><strong>Convert with the three-ask rhythm<\/strong> \u2014 on the way in, in the middle, and on the way out.<\/li><\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Step 1 \u2014 Give the Event a Mission, Not a Party Theme<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Here&#8217;s the line from Greg Moody that every school owner should tattoo somewhere visible: <strong>&#8220;It&#8217;s going to be fun&#8221; is the lamest reason on the planet to invite someone to anything.<\/strong> Every kid activity in your city is promising fun. The trampoline park promises fun. The arcade promises fun. Fun is the commodity pitch of children&#8217;s activities, exactly the way $140-a-month tuition is the commodity pitch of martial arts. When you compete on fun, you&#8217;re one option among forty.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A buddy day fills when the invitation carries a <em>mission<\/em> \u2014 a reason why this specific friend needs to be at this specific event. Three examples straight from the call:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>The bullying-prevention frame.<\/strong> The number one thing you can do to keep your child safe from bullying is help them earn a black belt. The second most important thing \u2014 and this happens to be true \u2014 is making sure their <em>environment<\/em> understands bullying too. So the assignment is: bring your best friend, the one you spend the most time with, and bring their parents, so your whole circle is equipped. That&#8217;s not a party invitation. That&#8217;s a parent-to-parent mission, and it lands with the person who writes the checks.<\/li><li><strong>The board-breaking frame.<\/strong> Every student breaks a board at the event \u2014 and someone has to hold it. Your buddy isn&#8217;t a spectator; they have a job. Nobody wants to break their board without their best friend holding it.<\/li><li><strong>The partner-drill frame.<\/strong> If it&#8217;s a Nerf-wars night or a team-drills event, the structure itself requires a partner. &#8220;You&#8217;ll be doing two-person missions, so you need to bring your partner with you.&#8221; The format creates the invitation.<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Notice what all three have in common: the friend&#8217;s attendance is <em>structurally necessary<\/em>, not merely welcome. The event doesn&#8217;t work for your student unless the buddy shows up. That flips the psychology. Your student isn&#8217;t doing you a marketing favor \u2014 they&#8217;re completing their own experience. And in the bullying frame, the parents aren&#8217;t dropping a kid at the curb \u2014 they&#8217;re attending something that&#8217;s explicitly about their family&#8217;s safety.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 2 \u2014 Make the Assumptive Ask: Names, Faces, and &#8220;How Many?&#8221;<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Here&#8217;s something I&#8217;ve taught for decades, and it applies to every referral conversation you will ever have: whenever you ask a student to bring friends, <strong>you must isolate names and faces<\/strong>. &#8220;Bring a friend!&#8221; shouted at the end of class produces nothing, because &#8220;a friend&#8221; is nobody. The human brain doesn&#8217;t act on categories; it acts on specific people.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">So the conversation goes to names immediately: &#8220;Who are you going to bring? What&#8217;s his name? Is that your friend from school or from the neighborhood?&#8221; The moment a child says &#8220;Tommy,&#8221; Tommy exists, and the invitation becomes a plan instead of a vibe. Better still \u2014 get Tommy&#8217;s family&#8217;s contact information right then, so <em>you<\/em> can confirm with them directly instead of hoping a nine-year-old executes your marketing plan.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And the language is <strong>assumptive from the first word<\/strong>. This was Greg&#8217;s point about what Jeff Smith had embedded in his script: it is never &#8220;Would you like to come to buddy day?&#8221; It&#8217;s &#8220;We&#8217;re having our event, you&#8217;re scheduled for the 2 p.m. session \u2014 how many friends are you bringing? You can bring more than one.&#8221; The event is happening. Their attendance is assumed. The only open question is the count. That&#8217;s the same assumptive structure a well-trained enrollment conference uses, and it works for the same reason: you&#8217;re not asking for a decision, you&#8217;re administering the details of a decision that&#8217;s already been framed as made.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">The Two Questions Your Staff Must Ask Every Student<\/h3>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>&#8220;Who are you bringing?&#8221;<\/strong> \u2014 get first and last names, and write them down on the spot.<\/li><li><strong>&#8220;How many friends do you want to bring? You can bring more than one.&#8221;<\/strong> \u2014 expand the invitation instead of capping it.<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">If your front desk asks those two questions of every student for two weeks before the event, your sign-up sheet fills itself.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 3 \u2014 Build the Paper Trail: Invitations, Slips, and the Clipboard<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">This is where Grandmaster Jeff Smith \u2014 who ran some of the highest-volume schools in the history of this industry under the Jhoon Rhee organization \u2014 added the mechanics that separate a real promotion from an announcement. Signs alone don&#8217;t fill events. As Jeff puts it, <strong>signs that don&#8217;t talk don&#8217;t sell.<\/strong> You still put the event everywhere \u2014 on the lobby TV, on the front door, on the locker-room door, on the mirror \u2014 but signage is air cover, not infantry. The paper trail is the infantry:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li><strong>The end-of-class announcement.<\/strong> At the end of every single class for the run-up period, the instructor talks the event up \u2014 using the mission language from Step 1, not &#8220;it&#8217;ll be fun.&#8221;<\/li><li><strong>The sign-up sheet with a human attached.<\/strong> A staff member catches every family on the way out with a clipboard: student&#8217;s name, each friend&#8217;s name, how many they&#8217;re bringing. Not a sheet taped to the wall \u2014 a person, at the door, every class.<\/li><li><strong>A printed invitation for each guest.<\/strong> Every student gets one invitation per friend they&#8217;ve named. A printed invitation transforms the event in the guest family&#8217;s mind \u2014 it sounds formal, like a real event, because it is one. A verbal &#8220;come to my karate thing&#8221; is forgettable. An invitation with a date, a time, and the child&#8217;s name on it gets stuck to a refrigerator.<\/li><li><strong>A participation slip for each guest.<\/strong> Alongside each invitation goes a participation\/permission slip that the guest&#8217;s parents fill out and the student brings back in. That slip is the single most valuable piece of paper in this entire system, because it comes back carrying the thing you need most: the guest family&#8217;s names and contact information, <em>before<\/em> the event.<\/li><\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Understand what the participation slip really is: it&#8217;s a lead capture device disguised as an administrative formality. The moment it comes back, you are no longer marketing through a child. You have a parent&#8217;s name and phone number, and a documented expression of interest. Most schools run buddy days where they meet the guest family for the first time at the event \u2014 if the family shows at all. With the slip system, you&#8217;ve captured the lead days earlier, which sets up Step 4.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 4 \u2014 Run the Confirmation Stack: Call, Text, Email<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The instant a participation slip comes back, someone on your team calls the guest&#8217;s parent. Not to sell \u2014 to confirm. The call does four jobs:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Confirms the parent actually knows about the event (children are unreliable couriers).<\/li><li>Confirms the child is coming, at a specific scheduled time.<\/li><li>Invites the parent to come and watch \u2014 personally, warmly, by name.<\/li><li>Sets up the follow-through gift: because their child was personally invited, the family has been arranged to receive <strong>two free weeks of classes and an official school T-shirt or uniform<\/strong>. If the parent can&#8217;t attend the event itself, you book the appointment for them to come in and get started on those two weeks right there on the call.<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Read that last point again, because it quietly solves the biggest buddy-day failure mode. Even a guest who <em>never attends the buddy day<\/em> is now a captured, contacted lead with a scheduled intro appointment and a gift waiting. The event stops being your only bite at the apple. As Jeff said on the call: once you learn how to run one event properly, you discover they all tie into each other \u2014 the buddy day feeds the intro appointment, the intro appointment runs like the birthday-party follow-up, and the machinery is the same machinery.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Around the live call, stack the rest of the media: confirmation texts and emails to both your own families and the guest families, reminders as the event approaches, and \u2014 for a big event \u2014 another round of calls. Greg&#8217;s standard is the right one: the communication should be so thorough that missing the event would take deliberate effort. One announcement is a whisper. A call, two texts, two emails, four signs, and a nightly end-of-class push is a drumbeat. Drumbeats fill rooms.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">The Fee Flip: Charge for the Event, Free With a Friend<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">One more piece from Jeff that puts a seal on the whole promotion: <strong>charge a fee for the event \u2014 but if a student brings a friend, they both get in free.<\/strong> This is beautiful economics. The fee establishes that the event has real value (free events are worth what people paid for them), and the waiver converts that value into referral fuel. You&#8217;re not paying students to bring friends; you&#8217;re letting them <em>earn<\/em> something with a behavior that&#8217;s worth fifty times the fee to you. A $20 event fee waived costs you twenty bucks of phantom revenue. The parents are watching the product demonstrate itself in real time. There is no better moment.<\/li><li><strong>On the way out:<\/strong> every guest family leaves with either a booked first appointment for their free two weeks or \u2014 better, if your school enrolls from events \u2014 a seat at an enrollment conference. Nobody exits with a vague &#8220;we&#8217;ll call you.&#8221;<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The compelling offer matters here as much as the asking rhythm. &#8220;Two free weeks plus an official school T-shirt or uniform, arranged by the friend who invited you&#8221; is concrete, generous, and time-bound.
