Not because my students didn&#8217;t travel \u2014 they did, plenty of them. It&#8217;s because the structural decision I made about how students enroll made the entire &#8220;we want to pause for summer&#8221; conversation almost never come up in the first place.<\/p>\n<h2 class=\"wp-block-heading\">The Root Cause: Month-to-Month Structure<\/h2>\n<p class=\"wp-block-paragraph\">If you&#8217;re running your school on a loose month-to-month billing structure, you&#8217;ve built the problem into your business model. A family paying month-to-month has zero financial incentive to keep paying through a period when they don&#8217;t expect to be attending regularly. Of course they want to cancel for the summer \u2014 there&#8217;s no cost to doing so, and no structure holding the relationship together.<\/p>\n<p class=\"wp-block-paragraph\">Compare that to a 12-month Trial Enrollment \u2014 the model I&#8217;ve run my entire career and the one I coach every school I work with to adopt. Structured correctly, initial tuition might run something like $897 to start and $397 a month across a 12-month agreement, with renewal terms increasing from there. That structure fundamentally changes the conversation. The family isn&#8217;t evaluating &#8220;should we keep paying this month&#8221; \u2014 they enrolled in a 12-month program working toward Black Belt, and a two-week vacation doesn&#8217;t change that underlying commitment. The entire psychological framing of the relationship shifts from a month-to-month subscription you can drop at will to a program you&#8217;re actively progressing through.<\/p>\n<p class=\"wp-block-paragraph\">This is one of the clearest, most practical illustrations I can give you of why the industry-standard month-to-month model is a trap. It&#8217;s not just that it leaves money on the table on a rolling basis \u2014 it actively creates cancellation conversations that a properly structured 12-month Trial Enrollment prevents by design.<\/p>\n<h2 class=\"wp-block-heading\">The Freeze-Not-Cancel System<\/h2>\n<p class=\"wp-block-paragraph\">Even on a well-structured 12-month agreement, families will occasionally have a legitimate reason to be gone for an extended stretch \u2014 a divorced family splitting custody across two cities for part of the summer, an extended trip, a family relocation for a few months. The answer is never &#8220;cancel.&#8221; The answer is always &#8220;freeze.&#8221;<\/p>\n<p class=\"wp-block-paragraph\">Here&#8217;s exactly how it works:<\/p>\n<p class=\"wp-block-paragraph\"><strong>Step One: Be proactive, not reactive.<\/strong> Don&#8217;t wait for a parent to come to you in June asking to cancel. Start the conversation in May. Go through your active student roster and ask every family directly: what does your summer schedule look like? Are you traveling? Are there windows where your child will miss class? This does two things \u2014 it lets you get ahead of scheduling makeup lessons before students fall behind on their testing cycle, and it puts you in control of the conversation instead of reacting to a surprise cancellation request.<\/p>\n<p class=\"wp-block-paragraph\"><strong>Step Two: For short absences, schedule makeups before they leave.<\/strong> If a family is going to be gone for a week or two \u2014 say, a family vacation \u2014 that&#8217;s a handful of missed lessons. Get makeup classes scheduled before they leave so the student doesn&#8217;t fall behind on testing, and they&#8217;re back on track the moment they return. No pause in billing needed at all for something this short.<\/p>\n<p class=\"wp-block-paragraph\"><strong>Step Three: For extended absences, freeze the lessons and add the time to the end.<\/strong> For a genuinely extended absence \u2014 three months with a relocated parent, for example \u2014 the student keeps paying their normal monthly tuition, but the lessons and testing cycle are frozen. Nothing is lost. When they return, you pick up exactly where you left off, and you add the frozen time onto the back end of their 12-month program. The family loses nothing. You lose nothing. The relationship \u2014 and the cash flow \u2014 stays completely intact.<\/p>\n<p class=\"wp-block-paragraph\"><strong>Step Four: Document it in writing, at the right moment.<\/strong> Build this into your enrollment paperwork, but don&#8217;t front-load the summer-pause conversation into the enrollment conference itself \u2014 that&#8217;s not the moment for it. Cover it in the enrollment folder review, typically the class or two after they&#8217;ve signed and started. Use a simple written &#8220;freeze slip&#8221;: the family notes the dates they&#8217;ll be gone, acknowledges that payments continue as normal, and acknowledges that the missed time gets added to the end of the program. Both you and the family keep a signed copy. Now everyone understands the policy before a real absence ever comes up, and there&#8217;s no awkward negotiation in the moment.<\/p>\n<p class=\"wp-block-paragraph\">Handled this way, the vast majority of summer travel situations resolve themselves with zero drama and zero revenue impact. The rare cases \u2014 a parent relocated to another state for months at a time \u2014 get the freeze treatment and come back exactly where they left off.<\/p>\n<h2 class=\"wp-block-heading\">What About a Zoom Option?<\/h2>\n<p class=\"wp-block-paragraph\">I&#8217;ll say plainly: if it were entirely up to me, I would never run another virtual class again in my life, and I suspect most parents feel the same way about their kids&#8217; training. That said, offering a Zoom option for a family that&#8217;s genuinely traveling \u2014 training from a relative&#8217;s house, say \u2014 is a legitimate secondary option if a school wants to offer it. I wouldn&#8217;t expect much real training effectiveness out of it, and I wouldn&#8217;t build a retention strategy around it. But it exists as an option for the rare family that wants it, layered on top of the freeze system, not as a replacement for it.<\/p>\n<h2 class=\"wp-block-heading\">Turning Summer Into an Offense, Not a Defense<\/h2>\n<p class=\"wp-block-paragraph\">Everything above is about protecting the revenue you already have. But summer should also be your best season for adding new revenue, not just defending existing revenue \u2014 and I want to be clear that these two things reinforce each other. A school that isn&#8217;t bleeding attrition over the summer has more bandwidth, more staff capacity, and more momentum to run an aggressive summer enrollment push at the same time.<\/p>\n<p class=\"wp-block-paragraph\">If you&#8217;re going to run a summer-specific offer for new prospects, follow the same core enrollment process you use year-round. Don&#8217;t create a special multi-month trial offer and wait until the end of it to see if the family wants to convert \u2014 by then, you&#8217;ve lost the moment and most of them won&#8217;t move forward. Treat every summer lead exactly like you&#8217;d treat a lead any other time of year: intro one, intro two, enrollment conversation, and a clear ask.<\/p>\n<p class=\"wp-block-paragraph\">In my experience, shorter promotional offers convert to full enrollments far more easily than longer ones. A one-month offer is harder to convert than a two-week offer. A six-week paid offer at a modest price point \u2014 say, in the $150-$250 range, including a uniform \u2014 tends to hit a sweet spot: enough commitment from the prospect to filter out the truly uninterested, short enough that you&#8217;re back in an enrollment conversation quickly. Structure it so the offer fee converts into a credit toward the full enrollment if they move forward, and you&#8217;re prepping the sale from the very first conversation rather than treating the trial and the enrollment as two separate transactions.<\/p>\n<p class=\"wp-block-paragraph\">One more distinction worth understanding: free offers almost always pull more volume than paid offers, especially online. But paid offers \u2014 even a small one \u2014 convert to full enrollment at a meaningfully higher rate than free ones, because there&#8217;s already a small commitment on the table. If your priority is maximum volume, lean free. If your priority is smooth conversion with a leaner front-end funnel, lean paid and short.<\/p>\n<h2 class=\"wp-block-heading\">Why the Numbers Back This Up<\/h2>\n<p class=\"wp-block-paragraph\">This isn&#8217;t just philosophy \u2014 it lines up directly with the retention math that separates well-coached schools from the industry average. Every family you talk into a &#8220;pause&#8221; that quietly becomes a permanent cancellation is an attrition event you didn&#8217;t need to have.
