I&#8217;ve watched schools try to enroll 30-40 families in a single chaotic afternoon after a six-week program ends, when they could have been calling those families in week one, getting 30-40% of them enrolled before the closing event ever happens. Spread the volume out. None of that replaces a real person calling to answer questions and confirm \u2014 but it multiplies the number of touches that person&#8217;s call is backed up by.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">One practical note on frequency: I hear a lot of school owners worry that emailing or texting &#8220;too much&#8221; will get them blacklisted or annoy prospects into complaining. In my experience it&#8217;s almost always the opposite problem \u2014 schools are too cautious, and infrequent contact is what actually kills a lead, because the prospect simply forgets who you are. A lead you touch once a day stays warm. A lead you touch once a month goes cold and stays cold. Not &#8220;whenever we get a chance.&#8221; The day before.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I want to be blunt about this because I hear pushback on it constantly: calling the day before an appointment is not rude, it&#8217;s professional. People are busy. A reminder is a courtesy, and even a voicemail that says &#8220;looking forward to seeing you tomorrow at 5:30, here&#8217;s our name and address&#8221; measurably improves show rates. If a holiday falls on the day before an appointment, you still call. &#8220;Merry Christmas \u2014 looking forward to seeing you tomorrow&#8221; takes ten seconds to say and can be the difference between a no-show and an enrollment.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you get a big batch of appointments from a strong event \u2014 say a hundred in one day \u2014 that&#8217;s a good problem to have, and the answer is not to skip the confirmation step because it&#8217;s inconvenient. Almost every time, the honest answer is &#8220;the last week.&#8221; That&#8217;s the problem. Somewhere in the Capture, Confirm, Communicate, or Call stages, something leaked, and the prospect walked out of that first lesson less excited than when they walked in \u2014 which is exactly backwards from how it should work.
