Back-to-school and the run-up to the holidays are, along with the New Year&#8217;s resolution season and early summer, the three windows when families are actively looking for something new for their kids \u2014 and when adults are ready to get back on a routine after a looser summer schedule. September through the first week or two of November is also historically the most productive, most cost-effective period for nearly every advertising channel you use: paid social, direct mail, and local media all perform better and cost less than they will in December.<\/p>\n<h3>Step One: Reactivate Every Lead You&#8217;ve Ever Generated<\/h3>\n<p>Before you spend a dollar on new lead generation, go back through your entire database \u2014 every lead who never came in for an appointment, every intro who didn&#8217;t enroll, every student who enrolled and then dropped. Market hard to that list in late August and September. These are people who already raised their hand once. Reactivating them is dramatically cheaper than acquiring a stranger \u2014 consistent with the fact that a new enrollment typically costs 5 to 7 times more to generate than it costs to retain or reactivate an existing relationship (roughly $150\u2013$300 in ad spend and staff time per enrollment when you&#8217;re generating cold leads). Would Tuesday at this time or Thursday at this time be more likely to work?&#8221; That question almost always sparks a real conversation about actual scheduling conflicts, and it typically moves your on-the-spot scheduling rate from roughly 30% up toward 90% or better.<\/li>\n<\/ol>\n<h3>Staff and Drill Before the Event, Not During It<\/h3>\n<p>Role-play the script before every single event \u2014 even with staff who&#8217;ve done it before. Nobody gets to skip practice, the same way nobody gets to skip drilling a technique before sparring with it. On high-traffic events, two people can bottleneck a line badly enough that people simply walk away rather than wait; for a genuinely large event, run four staff and two prize wheels, with one person capturing information and spinning while the other handles the scheduling hand-off.<\/p>\n<h2>Show: Getting the Appointment to Actually Walk In<\/h2>\n<p>Generating the appointment is only half the job. If you&#8217;re converting fewer than roughly 75\u201380% of your information-sheet leads into a scheduled appointment, something in your scripting is broken \u2014 go back and look at how hard you&#8217;re working the pencil-you-in close.
