Below is the full answer, and the framework behind it.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The Question Every School Owner Eventually Asks<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A coaching-call member asked me something I hear in some form almost every month: &#8220;What do I do when a prospect gets genuinely annoyed and accuses us of harassment over follow-up?&#8221; It had only happened to her a couple of times. She wasn&#8217;t trying to build a policy around one or two angry people \u2014 she wanted to know how to handle it when it came up.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">My answer starts with a story. I was car shopping with my son for a specific used sports car \u2014 white exterior, red interior, low mileage for its age, from a narrow model-year window after a particular internal upgrade. We ended up at a dealership that had a gorgeous car in the wrong colors, so it was a no-go, but while my son test drove it, I fell into a conversation with the sales manager about sales ratios, training, and follow-up. I mentioned how poor the follow-up was at a huge competing dealership nearby \u2014 genuinely one of the most irritating experiences I&#8217;d had as a customer. He laughed and told me something I&#8217;ve repeated in coaching calls ever since: every Monday, in the sales meeting, if he&#8217;d gotten a complaint call that week about a salesperson following up too much, he&#8217;d hand that salesperson a $100 bill in front of the whole team \u2014 specifically to reward them for staying on top of it.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Read that twice. He wasn&#8217;t apologizing for the complaint. He was rewarding the behavior that caused it, publicly, because he understood something most business owners never internalize: an occasional complaint about frequency is not evidence you&#8217;re doing too much. It&#8217;s evidence you&#8217;re one of the only sales operations actually staying visible in a prospect&#8217;s life.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The Complaint Threshold Framework<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">I call this the <strong>Complaint Threshold Framework<\/strong>, and it rests on a simple statistical reality: in any population of prospects, roughly 5% are going to be sensitive to follow-up frequency no matter how reasonable your cadence is. That&#8217;s a bell curve, not a judgment on your process. If you are never triggering a complaint from that 5%, it means your follow-up frequency isn&#8217;t even reaching the threshold where the other 95% \u2014 the people who are simply busy, distracted, or still deciding \u2014 are getting enough contact to convert. The absence of complaints isn&#8217;t proof of good manners. It&#8217;s proof of under-follow-up.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This reframes the entire question school owners actually mean to ask, which usually isn&#8217;t &#8220;how do I handle an angry prospect,&#8221; it&#8217;s &#8220;am I calling too much?&#8221; The answer, virtually every time I look at a school&#8217;s actual follow-up numbers, is no \u2014 they are not calling too much. They are usually calling once, maybe twice, and interpreting the rare pushback as proof they&#8217;ve hit a ceiling that, in reality, they haven&#8217;t come close to.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Why You&#8217;re Allowed to Keep Following Up<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The follow-up you&#8217;re doing isn&#8217;t cold outreach \u2014 that distinction matters enormously and it&#8217;s the first thing I want a staff member to internalize before they ever pick up the phone. You are calling people who intentionally raised their hand. They filled out a form. They asked for information about a martial arts program, presumably for their own child, in their own community. That is categorically different from buying a list and cold-calling strangers. When you frame a follow-up call to yourself as an intrusion, you&#8217;ll sound apologetic on the phone, and prospects can hear it. When you frame it correctly \u2014 I&#8217;m calling because this person asked, and because this program can genuinely change their kid&#8217;s life \u2014 your tone changes, and so does the response you get.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That reframe is also your actual answer to the rare &#8220;this feels like harassment&#8221; complaint. Don&#8217;t get defensive and don&#8217;t go silent. Say, plainly, that you understand, that your program has a real impact on kids, that&#8217;s why your team follows up the way it does, and that you&#8217;re happy to put them on a reduced-contact or no-call list if that&#8217;s genuinely what they want. Most people, once you&#8217;ve named the reason behind the persistence, aren&#8217;t actually upset anymore \u2014 they were reacting to volume without context, and the context resolves it.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The Only Two Real Reasons Someone Hasn&#8217;t Booked Yet<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Once you accept that persistent follow-up is correct, the next question is what to actually say on attempt six, or twelve, or twenty. I simplify it down to exactly two possibilities, because in my experience there really are only two:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>They don&#8217;t yet understand the value<\/strong> of what you&#8217;re offering, and they were poking around casually rather than making an informed decision.<\/li><li><strong>They understand the value fine, but their schedule hasn&#8217;t lined up yet<\/strong> \u2014 they inquired, then life intervened, a trip, a busy stretch, a scheduling conflict, and they genuinely intend to follow through once things settle.<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">You are not going to resolve the first reason with a single phone call \u2014 nobody wants a twelve-minute monologue about your program&#8217;s benefits delivered cold over the phone, no matter how good your pitch is. That&#8217;s what your other channels are for: direct mail, which almost nobody in this industry still uses effectively; email, understanding that most of it won&#8217;t be opened, so the value is in the repetition, not any single message; and text, which for now is still landing in a way email often doesn&#8217;t. Layer all three so the value case gets made gradually, across touches, rather than crammed into one call.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For the second reason \u2014 timing \u2014 your job on the phone is simple and low-pressure: &#8220;I know it&#8217;s often difficult to connect. I wanted to make sure you have whatever information you need, and I wanted to see if we could find a time that works with your schedule.&#8221; That single framing covers both possibilities without forcing the prospect to explain themselves, and it keeps the conversation moving toward a booked appointment instead of a debate.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The 90\/10 Rule: Know Who You&#8217;re Actually Talking To<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Here&#8217;s a detail that trips up more follow-up systems than owners realize: in roughly 90% of households, it&#8217;s the mom doing the research, making the inquiry, and driving the decision \u2014 regardless of whose name or number happens to be attached to the lead record. If your outbound call reaches dad on a bad night and he tells your staff member not to call again, you have not received a &#8220;no&#8221; from the decision-maker. You&#8217;ve received a reaction from someone who, in a lot of cases, wasn&#8217;t even the person who inquired and may not know the context of the call at all.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Practically, this means two things. First, make sure your intake process captures who actually inquired, not just whichever number was on file, and route follow-up to that person specifically wherever you can. Second, don&#8217;t let one gruff answer from the wrong household member trigger a permanent removal from your list \u2014 that single data point isn&#8217;t representative of the actual prospect&#8217;s interest.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Never Fully Delete \u2014 Move to Nurture Instead<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">I never take someone permanently off my list just because they said &#8220;not right now&#8221; or &#8220;we&#8217;re out for the summer.&#8221; What I do is move them into a longer-cycle nurture file \u2014 email and direct mail continuing at a lower cadence, flagged for a real follow-up push again in a few months, August or September for a summer pause, for example. The people you&#8217;re following up on are people who responded to an ad about their kids, in your service area, who wanted information. That&#8217;s not a cold list you should be purging aggressively. It&#8217;s a warm list on a longer clock. Reserve full removal for the rare, explicit request to stop entirely, and even then, keep them in a minimal-touch bucket rather than deleting the record outright \u2014 circumstances change, and next year&#8217;s inquiry often comes from someone already in your database from two years ago.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Scripting the Follow-Up Call: What to Actually Say<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Staff members hesitate on the fifth or sixth attempt because they don&#8217;t have language for it \u2014 they default to a slightly embarrassed, apologetic version of &#8220;sorry to bother you again,&#8221; which undercuts the call before it starts. Give your team a script that assumes the persistence is appropriate, because it is. Something close to: &#8220;Hi, this is [name] from [school] \u2014 you&#8217;d reached out about our program a little while back, and I know it&#8217;s often hard to connect by phone. I wanted to make sure you had all the information you need, and I wanted to see if we could find a time on the schedule that works for you and [child&#8217;s name].&#8221; That single opening line does three things at once: it re-establishes context so the prospect isn&#8217;t caught off guard, it covers both real reasons they haven&#8217;t booked \u2014 missing information or scheduling \u2014 without making them explain themselves, and it moves directly toward a concrete next step instead of restating benefits they&#8217;ve already heard.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Train your staff to never offer a full removal from the list as the first response to hesitation. If a prospect says &#8220;we&#8217;re not interested right now,&#8221; the correct response is closer to &#8220;understood \u2014 I&#8217;ll check back in with you in a few weeks in case timing changes, and you&#8217;ll still get our newsletter and event updates in the meantime,&#8221; not silence and not a full opt-out. If your complaint rate ever climbs meaningfully above roughly 5% of contacted leads, that&#8217;s the signal to ease frequency back, not before.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Where the Line Actually Is<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">None of this is an argument for careless or thoughtless volume \u2014 there&#8217;s a real line between persistent and genuinely inconsiderate, and good follow-up systems respect it even while staying aggressive. A few boundaries I hold every school to:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Vary the channel and the time of day rather than hammering the same phone number repeatedly within a short window \u2014 three missed calls in one hour is inconsiderate; three touches spread across a call, a text, and an email over a day is not.<\/li><li>Always identify your school by name immediately, in every channel \u2014 an unclear or anonymous-feeling message is what actually reads as harassment, not frequency itself.<\/li><li>Honor an explicit, unambiguous &#8220;stop contacting me entirely&#8221; request immediately and completely \u2014 the Complaint Threshold Framework is about not over-reacting to normal pushback, not about ignoring a genuine boundary once someone states it clearly.<\/li><li>Keep every message purposeful \u2014 even a short check-in should offer something (a schedule option, a piece of information, an event) rather than just restating &#8220;please call us back.&#8221;<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Persistent and inconsiderate are not the same thing, and confusing them is what causes owners to pull back prematurely.
