Every school has one to three years of names \u2014 old opt-ins, no-show intros, intros who didn&#8217;t enroll, and students who faded out. Start with my <a href=\"https:\/\/martialartswealth.com\/go\/grow\/marketing\/\">martial arts marketing<\/a> hub for the strategy, then use this page for the campaign mechanics.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Part One: The Back-to-School Table Circuit<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Let&#8217;s start with the traffic source that produces the biggest single flood of leads available to a martial arts school, because it feeds the list you&#8217;ll reactivate later.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">What &#8220;meet the teacher&#8221; night actually is<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Almost every elementary school runs some version of a back-to-school or meet-the-teacher event a day or two before classes start \u2014 usually late afternoon or evening. Parents bring the child in, meet the teacher, see the classroom.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And critically: <strong>the Scouts are there. The soccer club is there. The recreational programs are there.<\/strong> Tables are set up in the gym or cafeteria, and families walk the room deciding what their child will do this fall.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That&#8217;s not a marketing opportunity adjacent to your business. <strong>That is your exact prospect, at the exact moment they&#8217;re making the exact decision.<\/strong><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Why these leads convert better than fair and festival leads<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">They convert dramatically better than carnival, movie theater, or county fair traffic, and the reason is intent. A family at a summer fair is there to ride rides; you&#8217;re an interruption. A family at back-to-school night is there specifically to answer the question <em>what activities are we doing this fall?<\/em><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">One school I worked with ran a back-to-school night where organizers routed every family past every table in sequence. They booked <strong>85 appointments in two hours<\/strong>, and both the show rate and the conversion rate were substantially better than the same school&#8217;s event traffic.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Set the table like every other live event<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Use your standard live-event setup so you&#8217;re not retraining staff for every different venue: a good table with a proper cloth, floor-standing banners, possibly a screen to catch attention, and your usual scripting and handouts.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The <strong>prize wheel<\/strong> exists for exactly one reason \u2014 to give someone across the room a reason to walk over. That&#8217;s it. It&#8217;s the simplest attention mechanism available.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But you don&#8217;t always need one. In the routed-traffic format above, families come to you, so the wheel is unnecessary. And if you&#8217;re covering many schools on overlapping days, buying a wheel for each is impractical. A strong alternative one owner used: <strong>a drawing for a filled school backpack<\/strong> \u2014 loaded with the supplies elementary families have to buy anyway.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The signage is what makes it work: <em>Enter the drawing for a free backpack \u2014 and everyone who registers also receives two weeks of free martial arts classes and a free uniform, a $300 value.<\/em><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That removes the &#8220;I never win drawings&#8221; objection entirely. <strong>Everyone wins something<\/strong>, and the something is your trial offer.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Book the appointment at the table<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">This is non-negotiable, and it&#8217;s where most schools throw the day away.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Capture <strong>name, mailing address, phone, and email<\/strong> \u2014 all four \u2014 and <strong>book the appointment on the spot.<\/strong> A trained staff member should be booking 80\u2013100% of the people they speak with.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you leave with 200 names and zero appointments, you now face an impossible follow-up job. If you leave with 200 names and 150 appointments, you have a system.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Two supporting details:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Put your contact record in their phone.<\/strong> Tap-to-share cards, a sign on the table they can tap, wristbands, phone-to-phone \u2014 the method doesn&#8217;t matter. What matters is that your school&#8217;s name, phone numbers, email, and address land in their contacts. Then: <em>&#8220;Tap this \u2014 now you&#8217;ve got us. When you&#8217;re driving down, just hit it and it maps you there.&#8221;<\/em> The payoff is enormous: your confirmation calls stop showing as unknown numbers, your emails are far more likely to clear the promotions folder, and your texts actually notify. Most people have their phones configured to silence unknown senders. <strong>If you&#8217;re not in the contact record, half your follow-up system doesn&#8217;t exist.<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Hand them something physical with the appointment on it.<\/strong> A business card with their appointment written on the back at minimum; better, an information packet. Best of all, include a link or QR code to a school tour video so they can see your floor before they arrive. That materially improves show rates.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Get into as many schools as you can<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Here&#8217;s the arithmetic that makes this the single highest-volume play available.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If there are twenty elementary schools in your area, they&#8217;re all running one of these. Get into ten or twelve, at roughly 50 appointments each, and you&#8217;re looking at <strong>500 or 600 appointments.<\/strong> One owner covering fourteen schools produced roughly <strong>120 enrollments in a four-to-six-week window.<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The only real problem is being overwhelmed \u2014 I&#8217;ve seen schools generate six hundred appointments and a hundred and fifty enrollments and want to critique the ratios, which is absurd when someone just did 150 enrollments in a month.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And if you only get into seven schools and produce 70 appointments? Or five and produce 40? <strong>Who cares \u2014 do it anyway.<\/strong> The mistake is judging the play by your first attempt. You&#8217;ll make mistakes the first time. Track every number \u2014 contacts, appointments booked, shows, enrollments \u2014 so you can find where it broke and fix that specific step next time.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">How to get in<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Timing is everything, and the window is narrow.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Teachers typically return one to two weeks before classes start; administrators and principals often three. <strong>That in-service period, when the building is staffed but the kids aren&#8217;t there, is when you have their undivided attention.<\/strong> Many districts run training days for all their PE teachers or principals at once \u2014 which is an opportunity to present to an entire district&#8217;s worth of decision-makers in one room.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The bigger principle: <strong>set relationships up a season ahead.<\/strong> My rule was always to set up fall in the spring, and spring in the fall. Never walk in trying to arrange something for next week. If you haven&#8217;t done that yet, find out when staff return and go now \u2014 but put next spring on the calendar while you&#8217;re there.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Part Two: The Dormant-Lead Reactivation Campaign<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Now the part almost nobody runs, and the reason I titled this article the way I did.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Before you spend on new traffic, <strong>work the names you already own.<\/strong><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Build the list<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Pull everyone you&#8217;ve ever touched:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Website opt-ins<\/strong> who never came in.<\/li>\n<li><strong>Live-event leads<\/strong> collected at fairs, booths, and school nights.<\/li>\n<li><strong>Booked intros who never showed.<\/strong><\/li>\n<li><strong>Intros who came in and didn&#8217;t enroll<\/strong> \u2014 the highest-value segment by a wide margin.<\/li>\n<li><strong>Inactive students<\/strong> \u2014 everyone who has faded. The one who enrolled and dropped in six weeks, and the one who trained for years and stopped at blue belt.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Go back <strong>at least two to three years.<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If your leads are in a CRM, wonderful. If they&#8217;re five thousand paper forms in a box \u2014 and I&#8217;ve seen exactly that \u2014 that&#8217;s a solvable problem, not a reason to skip the campaign. An inexpensive outsourced data-entry service can key them for pennies apiece and you&#8217;re in business.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Understand what warmth is worth<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">How far back you can productively go depends entirely on one thing: <strong>did you keep the list warm?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A lead who&#8217;s been getting an email regularly, a postcard a couple of times a month, and an occasional call still knows who you are. A three-year-old lead you never contacted is functionally the same as a cold household across the street \u2014 you know slightly more about them (they had a seven-year-old at the time), but not much.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That&#8217;s the real argument for constant communication. It isn&#8217;t about this month&#8217;s conversions. <strong>It&#8217;s about whether your list is an asset or a spreadsheet.<\/strong><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Hit them on five channels simultaneously<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Not sequentially \u2014 simultaneously, inside a defined seasonal window.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Email<\/strong>, on a daily cadence during the campaign.<\/li>\n<li><strong>Text<\/strong> with the seasonal offer.<\/li>\n<li><strong>Ringless voicemail<\/strong> \u2014 a recorded message dropped directly into voicemail without ringing. Ideal for older leads, since there&#8217;s nothing to be annoyed by.<\/li>\n<li><strong>Live outbound calls<\/strong> with a crew working the list.<\/li>\n<li><strong>Sequential direct mail<\/strong> \u2014 multiple pieces, not one.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">On direct mail, here&#8217;s the sequencing error nearly everyone makes. Owners hear &#8220;direct mail&#8221; and immediately jump to the far end of the spectrum \u2014 saturation mail to every door, or a purchased compiled list. <strong>Wrong end.<\/strong> Start with the warmest and work out:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Every <strong>new opt-in<\/strong> \u2014 use mail to help convert them to an appointment.<\/li>\n<li>Every <strong>new enrollment<\/strong> \u2014 use mail as part of onboarding.<\/li>\n<li><strong>Reactivating students<\/strong> who faded, and <strong>prepping renewals.<\/strong><\/li>\n<li><strong>Intros who came in and didn&#8217;t enroll.<\/strong><\/li>\n<li><strong>Leads<\/strong> you&#8217;re working toward an appointment.<\/li>\n<li><strong>Older leads.<\/strong><\/li>\n<li><em>Only then<\/em>, tightly targeted cold mail.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">And on budget: <strong>repetition beats reach, every time.<\/strong> If you have 2,500 names and limited money, mail the <strong>500 most recent five or six times<\/strong> rather than all 2,500 once. Recency and frequency both matter more than volume \u2014 the more recently someone raised their hand, the more likely they remember you.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For a seasonal window, a workable schedule is: two weeks before, one week before, the week of, then follow-ups across the four weeks after. Boom, boom, boom, boom.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The most effective cold mail piece I ever ran, incidentally, wasn&#8217;t cold at all in feel \u2014 several students brought me their school directories and we sent a letter <em>from that family<\/em> to other families at the school, referencing their own child and inviting the recipient down for a free introductory class, with the student family&#8217;s name and address as the return address. It worked extraordinarily well precisely because it wasn&#8217;t from us.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Why &#8220;it&#8217;s been a year, they said no&#8221; is wrong<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Owners hesitate to rework old intro leads because they already heard a no. Understand what that no usually was.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The two standard objections are time and money \u2014 and <strong>people&#8217;s financial situations change month to month.<\/strong> Someone who couldn&#8217;t afford it in March may be in an entirely different position now. Temporary unemployment ends. A transmission gets replaced. An unexpected medical or legal expense clears.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The person who came in, saw your floor, liked it, and couldn&#8217;t act is one of the most qualified prospects you will ever have. They&#8217;re not a dead lead. <strong>They&#8217;re a lead with an expired reason.<\/strong><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Call cadence that actually gets answered<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Some specific mechanics worth copying:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>On live calls, call twice in a row.<\/strong> One unanswered call reads as spam. A second call immediately after reads as <em>this might be important.<\/em> Leave your message on the second attempt, not the first.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Then wait a couple of hours and call twice more from a different number.<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>On later attempts, don&#8217;t leave another message.<\/strong> They either got the first one or they didn&#8217;t. Stacking voicemails from the same number just marks you as a nuisance. Call, hang up, call back another day.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>On general cadence for old leads:<\/strong> roughly weekly to every other week, worked top-of-list to bottom-of-list. But honestly, cadence matters less than <strong>seasonality<\/strong>. Three windows carry most of the year: <strong>back to school, January, and early summer.<\/strong> Those are the moments people are actively looking for an activity. Work the whole list from the top down in each window.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">The invitation strategy that makes daily email sustainable<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Owners panic at &#8220;email every day.&#8221; Here&#8217;s what makes it easy and non-annoying.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You already run internal events \u2014 roughly three a month. Parents&#8217; night out. Movie night. Board-breaking day. Ninja day. Belt graduation open to spectators. Back-to-school night at your school.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Build one email and direct mail sequence per event type, once.<\/strong> Then every time that event comes around, you plug the sequence in and fire it at your entire lead and inactive list.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Two things happen. Your calendar produces genuine variety instead of the same pitch. And \u2014 more importantly \u2014 <strong>not every contact is a sales pitch.<\/strong> You&#8217;re inviting people to things. That&#8217;s a completely different relationship than a monthly &#8220;come enroll&#8221; message, and it&#8217;s why the list stays warm.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A monthly newsletter is worth mentioning here too. I never saw much point in a polished newsletter for <em>current<\/em> students beyond schedule and event announcements. But it&#8217;s genuinely valuable for exactly two audiences: <strong>inactive students<\/strong>, who see everything they&#8217;re missing, and <strong>leads and prospects<\/strong>, who get repeated exposure to a school that looks alive.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Part Three: The Seasonal Grassroots Blitz<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">During a seasonal window, run the entire grassroots checklist at once, with congruent look, feel, and offer across every piece:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>A big banner<\/strong> across the front of the building.<\/li>\n<li><strong>A large inflatable<\/strong> with a banner \u2014 including the kind shaped like a figure in uniform holding a sign with your offer.<\/li>\n<li><strong>Flag banners<\/strong> \u2014 the tall feather-style flags. Position them where traffic sees them.<\/li>\n<li><strong>Large A-frame signs<\/strong>, including an arrow-style sign showing you&#8217;re in the center.<\/li>\n<li><strong>Roadside posters<\/strong>, placed a couple of blocks out so drivers encounter them before your location.<\/li>\n<li><strong>300+ rack card placements<\/strong> with local merchants \u2014 every dry cleaner, ice cream shop, pizza place, and quick-service restaurant in the area.<\/li>\n<li><strong>Door hangers and flyers<\/strong> through surrounding neighborhoods.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">And run your paid channels harder in the same window, because responsiveness spikes: <strong>back-to-school Facebook and Instagram creative<\/strong>, a bid increase on search (parents are actively searching for kids&#8217; activities), SEO in good shape, and traffic pointed at a purpose-built landing page rather than your homepage.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I treat back-to-school as a <strong>six-week window<\/strong>: the two weeks before school starts, plus the four weeks after. Response in the two weeks prior is often muted \u2014 families are squeezing in a last vacation \u2014 so don&#8217;t panic and pull the campaign. The volume typically arrives after the first bell.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">One important caution on signage. Roadside &#8220;bandit&#8221; signs are called that because they&#8217;re generally illegal, and banner and inflatable rules vary widely by city and by landlord. <strong>Go get the permit.<\/strong> Many municipalities will issue a temporary banner permit for a month or two, which is cheap, fast, and removes the whole problem. Ask your landlord in writing. Being right is worth more than being clever here, and a good relationship with your center&#8217;s management is an asset you&#8217;ll want for years.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Grandmaster Smith&#8217;s habit is worth stealing: when he drives around, he studies signage at <em>other<\/em> businesses \u2014 not martial arts schools \u2014 looking for whatever caught his eye. That&#8217;s where the flag banners came from. That&#8217;s where the inflatables came from. Car dealers have been solving the attention problem for decades. Go look at what they do.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The underlying point: roughly 90% of martial arts schools sit on a road with significant traffic, and those drivers are your customers, because they already frequent that area. Very few schools do anything to convert that exposure. Banners and inflatables are close to the cheapest customer acquisition available to you.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Frequently Asked Questions<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">How far back should I go when reactivating old martial arts leads?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">At least two to three years, prioritizing by recency. How productive the older names are depends entirely on whether you kept the list warm \u2014 a lead who&#8217;s been receiving regular email, occasional mail, and periodic calls still knows who you are, while an untouched three-year-old lead is nearly as cold as a stranger. With a limited budget, mail your 500 most recent names five or six times rather than 2,500 names once.
