Cutting Payment Processing Fees at Your School
Most schools overpay on card-processing fees simply because they’ve never renegotiated since the day they signed up. Effective rates in the 2.5-3.5% range are common, and shopping your processor or moving to a platform built specifically for recurring tuition billing can meaningfully cut that — real money on a school running six figures a year through EFT and card payments.
Why Your Effective Rate Is Higher Than You Think
The rate advertised when you signed up is rarely the rate you’re actually paying today. Processors routinely add fees over time — statement fees, PCI compliance fees, batch fees, downgrade fees for certain card types — that push your true effective rate well above the headline number. Pull your last three merchant statements and calculate total fees divided by total processed volume to find your real number before assuming you already know it.
Questions to Ask When You Renegotiate or Switch
Ask any current or prospective processor for your complete effective rate in writing (not just the “as low as” headline rate), whether pricing is interchange-plus (more transparent) or a flat blended rate (often more expensive at scale), what the early termination or contract-length terms are, and whether recurring/EFT transactions are priced differently than one-time card swipes — they often should be, since recurring billing carries lower processor risk.
EFT vs. Card: Why the Billing Method Matters
Recurring bank-draft (EFT/ACH) billing is typically cheaper per transaction than recurring card billing, and it’s also the billing method buyers and lenders trust most (see: what buyers look for in your books). Shifting a higher share of your recurring tuition to EFT, where families are comfortable with it, often cuts processing costs and strengthens your financials at the same time.
FAQ
How often should I renegotiate my payment processing rate?
Review your statements at least annually. Processors rarely lower rates proactively, so the review has to come from you.
Is switching processors worth the hassle?
If your effective rate is meaningfully above competitive interchange-plus pricing, yes — many school-management platforms include integrated payment processing that’s easy to migrate to during a normal software transition.
